Preview/Private View
These are normally held on Wednesday or Thursday (between 7 and 9pm) but Trackside is happy for the preview to take place on Saturday evening or Sunday lunchtime at times to be agreed between the exhibitor and Louise Richards [Louise] of Trackside. Hanging of the exhibition is usually done the day before the preview. Trackside has an easy-to-use hanging system and can provide a browser and small display easels. Louise is happy to provide hanging assistance if required.
Refreshments for the Preview
The exhibitor is responsible for providing wine and soft drinks for the preview. Trackside has approximately 50 glasses available and a small fridge for chilling white wine. A few nibbles can also be provided by the exhibitor but greasy foods are best avoided. It is also nice to provide flowers for the preview. Trackside will assist in hosting the preview but the exhibitor will be responsible for assuring the guests depart on time and for clearing up wine glasses, empty bottles, etc. after the preview. Trackside can possibly arrange for a waitress to be in attendance for £10 per hour, to leave the exhibitor free to talk to guests.
Invitations
The exhibitor is responsible for the cost of printing and supplying invitations and envelopes and for mailing to their own mailing list. Should the exhibitor wish to mail to Trackside’s mailing list Louise will supply you with the printed labels. Trackside can provide an invitation template if required or the Trackside logo and map for inclusion in the invitation design. It would be helpful if a draft copy of the invitation could be shown to Louise prior to printing to avoid error.
Pricing and Labelling of Work
The exhibitor is responsible for setting the prices of the exhibition pieces, inclusive of the commission due to Trackside. Trackside will produce the price labels with the Trackside logo provided the exhibitor provides Louise with the relevant information at least 24 hours before the Preview. This should include the title of the work, medium, price and, where more than one artist is involved in an exhibition, the name of the artist. A full list of works exhibited should also be provided and this should also include the dimensions of the work, if possible.
Advertising
Details of the exhibition will be posted on the Trackside website and distributed to other websites. The exhibitor should provide either a Jpeg or a PSD image to Louise that can be used for this purpose. Trackside is happy to discuss additional advertising or promotion of the show with the exhibitor.
Posters
Posters are a useful means of advertising the exhibition. Trackside will undertake to put up posters in key locations – please provide six copies.
Insurance
Trackside does not have cover for contents insurance and all work left at Trackside is the exhibitor’s own risk. Trackside does everything possible to ensure that goods are secure at all times. If this is of concern to the exhibitor, Trackside recommends the exhibitor takes out temporary insurance for the period that the work is on exhibition.
Louise is happy to discuss further any of the items above and to give advice and assistance when planning the exhibition.
